Automate Your Microsoft Word™ Documents with AutoCorrect!
If you are a less than great typist, but want to look like one - make the AutoCorrect tool in Microsoft Word™ your friend! AutoCorrect automatically detects and corrects typographical errors, misspelled words and incorrect capitalization in your document. That's helpful - but the best part is that AutoCorrect can also be used to insert text, graphics, symbols and parts of formatted paragraphs into your file by typing a short phrase or abbreviation.
For example, you can automate:
- Addresses
- Long words or often used phrases
- Signatures - complete with name, title, company
- Standard headers or footers
Spelling & Typing Errors
You can add words that you commonly misspell or mis-type to your AutoCorrect list. With any Word™ document open:
- Click Tools / AutoCorrect
- In the Replace field, type the word the way you incorrectly spell it.
- In the With field, type the word correctly.
- Click Add.
- Click OK to close the AutoCorrect window.
Insert Pictures/Graphics
You add graphics by setting up "mini-macros" that will insert graphics - such as your logo. With any Word™ document open:
- Click Insert / Picture / From File
- Find the folder that contains the graphic you want inserted.
- Click 1X to select the graphic file you want, then click Insert. The graphic will appear in your Word™ document.
- Click 1X the inserted graphic to select it.
- Click Tools / AutoCorrect.
- In the Replace field, type a short word or phrase that will trigger the insertion of your graphic into the document.
- It is important to select a unique grouping of characters or abbreviation unlike any dictionary word or name. (I generally add an "x" after whatever word or abbreviation I think I'll remember.)
- the "Formatted text" option will be selected by default and should remain selected.
- Click Add.
- Click OK to close the AutoCorrect window.
Insert Symbols
MSWord™ allows your to insert a variety of symbols and special characters into your document. You can add them to your AutoCorrect list to automate the insertion process. There are some symbols already programmed into AutoCorrect, such as:
- Copyright symbol: Type (c) and it will automatically change to the © symbol.
- Trademark symbol: Type (tm)and it will automatically change to the TM symbol.
To automate symbols, with any Word™ document open,
- Click Insert / Symbol
- Select a symbol font (e. g., Wingdings) from the drop-down font menu
- Click 1X to select the symbol that you wish to utilize and it will appear enlarged on your screen.
- Click the AutoCorrect... button at the bottom left corner of the window.
- In the Replace field, type a short word or phrase that will trigger the insertion of your graphic into the document.
- It is important to select a unique abbreviation unlike any dictionary word or name. (I generally add an "x" after whatever word or abbreviation I think I'll remember.)
- The "Formatted text" option will be selected by default and should remain selected.
- Click Add.
- Click OK to close the AutoCorrect window.
